Q: I order stock from my suppliers by email and keep track in a spreadsheet. Some of it comes on consignment and some on payment terms. Can I do all of that in Octabiz now, and how?
The ordering part now has a home in Octabiz: on 11 October 2026 the quick-purchase features were switched on for everyone on octabiz.ai (v1.20.625). That covers the quick purchase order (Quick PO), payment plans, consignment and a purchase order page for each order.
Everything below comes from our release notes, and I've kept to what they say. I'll walk through what changed, how to place a quick purchase order, consignment, the purchase order page and the two new reports, in that order.
In short
Key takeaways
Quick PO lets you pick the vendor's items or any product, create a new product in place and keep an order date.
A payment plan can sit on the Quick PO and on the PO page.
A sent PO can be closed with a reason, and reopened if it was closed by mistake.
Two new reports: Supplier payments due and GR-IR open items.
What changed this week for anyone who buys stock from suppliers
These are the purchasing releases from 10 to 12 October 2026, each with its version number so you can find it in the notes:
- Quick PO: pick the vendor's items or any product, make a new product in place, keep an order date (v1.20.594).
- Payment plan on Quick PO and on the PO page (v1.20.600).
- Consignment: take goods on consignment from the Quick PO page (v1.20.598).
- The purchase order page as the hub for each order (v1.20.603).
- Close a sent purchase order from its page, with a reason (v1.20.633).
- Reopen a purchase order closed by mistake (v1.20.658).
- Two reports: Supplier payments due and GR-IR open items (v1.20.601).
- "Approve (you're the only owner/admin)" on pending supplier payments, among other items (v1.20.652).
That's a lot for one week of releases!
How to place a quick purchase order, step by step
Here is the order of things as the release notes describe them. I've used only the names the notes use, so treat these as the parts of the screen to look for:
Placing a Quick PO
- 1
Open Quick PO and pick the vendor
Then choose from that vendor's items, or pick any product (v1.20.594).
- 2
Create a new product if it isn't in Octabiz yet
You can make it right there on the Quick PO screen, without leaving it (v1.20.594).
- 3
Set the order date
Quick PO keeps an order date on the order (v1.20.594).
- 4
Add a payment plan if your supplier gives you terms
It can be set on the Quick PO, and on the PO page later (v1.20.600).
If you reorder the same goods from one vendor most weeks, picking from that vendor's items is the shortest route; if a new line turns up, create the product in place and carry on.
Taking goods on consignment
Since v1.20.598 (10 October 2026) you can take goods on consignment straight from the Quick PO page, so a consignment order starts in the same place as a normal one.
If you run a rug shop that holds a supplier's pieces and settles up only when they sell, this is the release to look at first. For more on running a rug business in Octabiz, see our guide for rug retailers.
The purchase order page: one place for each order
The purchase order page became the hub for each order in v1.20.603 (10 October 2026). Two releases after that gave it more to do:
- Close a sent PO with a reason (v1.20.633, 11 October 2026): for example, when the supplier can't deliver.
- Reopen a PO closed by mistake (v1.20.658, 12 October 2026).
The payment plan can be edited on the PO page too (v1.20.600), so you can change the terms there if the supplier changes them.
Two reports: what you owe and what arrived unbilled
Both reports shipped in v1.20.601 (10 October 2026), and each answers one plain question:
- Supplier payments due: what you owe suppliers.
- GR-IR open items: goods received but not yet billed.
If you're the only owner or admin, you can approve pending supplier payments yourself with "Approve (you're the only owner/admin)" (v1.20.652, 12 October 2026).
Common questions
Try it on your next reorder
Take the next supplier order you would have emailed and place it as a Quick PO instead, then open Supplier payments due. Every change is listed in the release notes.
P.S. We haven't written up a customer story about purchasing yet, so if you place your first Quick PO this week, I'd like to hear how it went.
