In short
Key takeaways
To-dos from a meeting now carry a time and an owner, with email and notifications (v1.20.858, #1594).
Meeting notes can be emailed through the Email Builder or the composer, and the email shows up in Sent (#1594).
Finished meetings fetch their own notes, and Fetch notes no longer fails (v1.20.847, #1593).
The call ended, now what?
"We had a good call, everyone agreed on next steps, and a week later nobody remembers who said they'd do what." If that sounds like your last supplier call or team check-in, this post is for you, because it is about meeting action items and what happens to them after you hang up.
On October 16, 2026 we shipped two changes to the Meetings page in Octabiz: one gives every to-do a time and an owner, and the other makes sure a finished meeting has its notes.
How recording and transcripts work is already covered in Octabiz joins the Recall.ai Startup Program and Octabiz joins the Speechmatics Startup Program. This post picks up at the step after that.
Below, I'll walk you through what changed, the steps from the call to the inbox, and what the release notes leave open.
What changed on the Meetings page
There are three changes, all listed in the release notes:
- To-dos with a time and an owner. To-dos taken from a meeting now carry a time and an owner, come with email and notifications (v1.20.858, #1594).
- Notes emails. You can email the meeting notes through the Email Builder or the composer, and the email shows up in Sent (#1594).
- Notes that come in on their own. Finished meetings fetch their own notes, Fetch notes no longer fails, and the notetaker picture shows in the call (v1.20.847, #1593).
Before the October 16 fixes, Fetch notes could fail and finished meetings did not automatically pull in their notes. Now they do.
Step by step: meeting action items from the call to the inbox
From the call to everyone knowing what they owe
- 1
Open the finished meeting
Go to the Meetings page and open the meeting that just ended. Since v1.20.847 it fetches its own notes.
- 2
Check the notes came in
If you want them right away, use Fetch notes, which no longer fails.
- 3
Give each to-do a time and an owner
Every to-do taken from the meeting can now carry both (v1.20.858).
- 4
Let the email and notifications go out
To-dos with a time and an owner come with email and notifications.
- 5
Email the meeting notes
Send them through the Email Builder or the composer.
- 6
Find it in Sent
The notes email shows up in Sent, so you can see it went out.
Why a time and an owner? Azeus Convene says every action item should answer who, what and when: the to-do is the what, the owner is the who, and the time is the when.
The iBabs glossary lists the same two pieces among the key elements of an action item: accountability (the names of the people responsible) and deadlines (the date and time).
On timing, Berkeley BPMO recommends sending a summary with action items, decisions and responsibilities within 24 hours. If you can, send the notes email the same day as the call.
What the release notes do not say
They do not say who can be an owner, who receives the email and notifications, or when the notifications arrive. They also name no other settings for to-dos.
Who this helps
If you run client or team calls online (a services business, a shop talking to suppliers, a home services crew lining up jobs), the to-dos from those calls now get a name and a time on them. The meeting notes can be emailed through the Email Builder or the composer, and the email shows up in Sent.
Try it on your next call
After your next recorded meeting, open it on the Meetings page, give each to-do a time and an owner, and send the notes email. I think that one call will tell you quickly whether it fits how you work.
What would you change first?
